SEC Overview
The mission of the Southeastern Consortium for Dermatology (SEC) is to support the education and collaboration of dermatologists and dermatology residents, fellows, students and mid-level providers in the Southeastern United States.  The annual meeting rotates each year among the 10 participating Dermatology programs with the educational focus being a thorough update in one or two areas of clinical dermatology selected from a core curriculum. The 2019 meeting will be hosted by the Department of Dermatology at Duke University Medical Center.

The 2019 meeting will be hosted by Duke University and take place at the Durham Convention Center in Durham, NC on October 4 – 5, 2019. The two areas of Dermatology that will be a focus this year are Hair Disorders and Infectious Diseases. We will also have an update on psoriasis, blistering disorders, hidradenitis suppurativa and atopic dermatitis.

The exhibit program is designed to provide practicing dermatologists, residents, fellows, medical students, and mid-level providers with first-hand information about products and services specific to dermatology, infectious disease in dermatology, and hair disorders. The exhibit program will also serve as a forum for updating physician’s knowledge of current technological advances in the field of dermatology. The SEC for Dermatology seeks vendors and companies with ethical and truthful advertising and may accept or reject any application to exhibit at its discretion.

Group rates are available at the Durham Marriott City Center, 201 Foster Street, Durham, NC 27701. To make a reservation, contact Marriott reservations directly at 800.228.9290 or 919.768.6000. Refer to the Southeastern Consortium for Dermatology. The group room rate is $159++.
Reservations must be made by Wednesday, September 4, 2019 to receive the discounted rate. The discounted rate after that date are not guaranteed.

The exhibit hall will be open for set-up from 6:00 am until 11:00 am on Friday, October 4, 2019. Only one table per exhibitor is allowed.

You may breakdown your exhibit at any time, however, all exhibits must be fully broken down by 6:00 pm on Saturday, October 5, 2019. Due to strict rules and regulations all exhibit areas must be clean and free of debris before departing. If you wish, you may leave additional materials for attendees to take on their own.
All packages that are being shipped to the Durham Convention Center can arrive 3 business days (Tuesday, October 1) from the first day of the event. Packages should be shipped with the following items on the delivery label.

Packages will be received and delivered to assigned tables after the entire exhibit space has been set up. Please note, the convention center is not responsible for any lost, misplaced, or damaged freight. Total shipments under 100lbs will have no fee. Any total shipments over 100lbs will be charged a drayage fee of $32.00 per 100lbs. The drayage fee will need to be paid before shipments can be delivered to the booth. This fee must be paid via credit card. SEC will provide the necessary guidelines and shipping forms once deposit and/or full payment is received for exhibit (Drayage Handling Form and credit card authorization form.)

Once this signed form is received by Pickpoint LLC, you will receive instructions for payment and hold harmless agreement from Duke Health.

Exhibitors Contract

1) If purchased, each company will have one or two (1 or 2) table(s) as per exhibitor level for the Southeastern Consortium for Dermatology (SEC) Annual Meeting.
2) Exhibitors are always required to have a representative at their table during exhibit hours.
3) A maximum of two (2) representatives can exhibit at the meeting upon payment unless additional representatives are noted based on exhibit level.
4) All sound equipment must be regulated so that it does not disturb neighboring exhibits. SEC reserves the right to determine at what point sound constitutes interference with others and must be discontinued. Due to regulations by the music industry regarding music at public meetings, conventions and shows, exhibitors may not play music during the trade show, either live or recorded.
5) Exhibitors will not be permitted to assign, sublet or share with others any part of the space allotted to them.
6) SEC authorizes exhibitors to make retail sales of tangible personal property or service subject to sales tax. The exhibitor shall be solely responsible for any local, state or federal tax liability resulting from this contract or other tax implication arising from activities while exhibiting at the meeting.
7) Exhibit area must be kept clean. The floor and display areas of the exhibit area must be clear of debris. Exhibitors will be liable for any extra cleanup costs incurred due to displays, food machines and other means.
8) Business activities, circulars and advertising materials of the exhibitor shall only be conducted and/or distributed within the exhibit space assigned to the exhibitor.
9) Exhibitors are prohibited from conducting any activities on the outside grounds, parking area, or elsewhere at the Durham Convention Center.
10) Exhibitors may offer food and/or beverage at their exhibit tables as a traffic builder provided it is ordered through the Durham Convention Center (no outside food or beverage is allowed) and the food & beverage is located on their exhibit table, not on any additional tables or carts.
11) Exhibit table personnel badge names to be given to SEC no later than August 15, 2019. No exhibitor will be admitted to the exhibit area without an exhibitor’s badge. Exhibitors are not permitted to attend the general sessions. Badges are to be picked up at the SEC registration desk.
12) Use of electrical current is confined to lighting or the operation of such equipment that is harmless, noiseless and does not release undesirable odors.
13) Objectionable practices by exhibitors or official suppliers should be reported immediately to
SEC management and not after the show is completed.
14) No children under 16 years of age will be allowed in the exhibit area at any time, unless accompanied by an adult.
15) It is agreed that SEC and the host facility shall not be liable for any damage to, or destruction of, any exhibit from any cause or for the theft or disappearance of any exhibit or any property contained in or about the exhibit booth area.
16) It is agreed that the Exhibitor hereby assumes entire responsibility and hereby agrees to protect, defend, indemnify and save the SEC and Durham Convention Center (DCC), its owners, its operator and each of their respective parents, subsidiaries, affiliates, employees, officers, directors, and agents harmless against all claims, losses or damages to persons or property, governmental charges or fines and attorney’s fees arising out of or caused by its installation, removal, maintenance, occupancy or use of the exhibition premises or a part thereof, excluding any such liability caused by the sole gross negligence of the Hotel and its employees and agents.
17) It is agreed that the Exhibitor shall obtain and keep in force during the term of the installation and use of the exhibit premises, policies of Comprehensive General Liability Insurance and
Contractual Liability Insurance, insuring and specifically referring to the Contractual liability set
forth in this Exhibit Agreement, in an amount not less than $2,000,000 Combined Single Limit for
personal injury and property damage. The DCC, its owners, and its operator shall be included in such policies as additional named insureds. In addition, the Exhibitor acknowledges that neither the DCC nor its owners maintain insurance covering exhibitor’s property and that it is the sole responsibility of the Exhibitor to obtain business interruption and property damage insurance insuring any losses by the Exhibitor. Upon request, the exhibitors will furnish certificates of insurance to the SEC.
18) The exhibitor agrees to indemnify and hold harmless SEC and the DCC or their employees or their representatives against any and all liabilities for damage, injury or loss to all persons and any and all claims arising out of acts or omissions of exhibitors, their employees or their representatives.
19) SEC will only refund exhibitors who are pre-registered by September 3, 2019 for the cost of exhibit space and will not be held responsible or liable for charges or damages for any failure of performance due to acts of nature, labor disputes, and shortage of materials, governmental authority, or other circumstances beyond reasonable control of either party.
20) Neither SEC nor the DCC maintains insurance covering property brought onto or stored on the venue’s premises by exhibitors and it is the responsibility of the exhibitor to obtain or maintain such coverage at their own expense.
21) Exhibitors will not offer educational/training programs within DCC simultaneous to the SEC and related programs.

22) All electrical work and electrical wiring must be approved and installed in accordance with regulations established by the officials of the Fire Marshall’s Office.
23) No construction will be allowed at the sides or above the booth that may obscure the view of any adjacent booths.
24) All materials used for decorating must be flameproof.
25) Construction and signs that are above 8 feet in height must be approved by the SEC.
26) All applicable cities, county and state codes and ordinances must be complied with as well as those of the DCC.
27) Nothing shall be posted on, tacked, nailed or otherwise affixed to columns, walls, floors or other parts of the buildings, furniture or equipment.
28) In order to meet the set-up deadline, the SEC management reserves the right to order labor to set-up any exhibit that is not in the process of being erected by 11:00 AM Friday, October 4, 2019. The cost for this labor will be paid by the exhibitor. All exhibits must be fully broken down by 6:00 PM, Saturday, October 5, 2019.
29) All decisions of said group or representatives are final.

30) Please complete, sign and send this form by email to secdermsmeeting@pickpointllc.com or mail to Pickpoint, 1586 Sumneytown Pike, Box 1322, Kulpsville, PA 19443. No application will be processed, or space assigned until this form is received.
31) Once the signed form is received by Pickpoint LLC, you will receive instructions for payment and hold harmless agreement from Duke Health.
32) Exhibitor fee must be fully paid for by July 15, 2019. If fee is not paid by July 15, 2019, table(s) may be reassigned, sold or canceled by SEC.
33) Notification of an exhibitor’s decision to cancel must be emailed in writing to SEC’s meeting manager at Pickpoint LLC at secdermsmeeting@pickpointllc.com. It is the exhibitor’s responsibility to assure the cancellation was received. If written notification of cancellation is received at Pickpoint, the following policies will apply:
• Received by July 15, 2019: Full refund less $100 administrative fee
• Received July 15 – September 1, 2019: 50% refund less $100 administrative fee
• After September 1, 2019: No refund

34) It is the responsibility of the exhibitor to see that all exhibit table staff are aware of and adhere to these rules and conduct themselves in a professional manner throughout this meeting. The SEC shall have the sole authority to interpret and enforce all rules and regulations governing exhibitors and the 2019 SEC Meeting. Any and all matters not specifically covered herein are subject to decision by the SEC. These rules and regulations may be amended at any time by the SEC upon written notice to all exhibitors. Each exhibitor expressly agrees to be bound by the rules and regulations set forth herein and by any amendments thereto adopted by the SEC from time to time. Any exhibitor or exhibitor representative who, in the opinion of the SEC, conducts him/herself
unethically may immediately be dismissed from the 2019 SEC Meeting without
refund or other appeal.
35) If the selected location is not available or if, in its sole discretion, the SEC believes that’s in the best interest to do so, the SEC shall move the 2019 SEC Meeting to another location. In the event the 2019 SEC Meeting is not held for any reason whatsoever, the contract for exhibit space shall be terminated. In such case, the exhibitor shall waive all damages and claims for damages and agrees that the sole liability of the SEC will be to return to exhibitors their exhibit space fee on a pro rata basis after deduction of all 2019 SEC Meeting related costs and expenses incurred by the SEC through the date of cancellation, an administrative fee, and overhead charges.
36) Exhibitor acknowledges that it bears sole responsibility for the collection and remission of all sales tax and other obligations arising from its product sales. Atypical giveaways must be approved by the SEC (30) thirty days in advance of the 2019 SEC Meeting. If such items are not cleared through the SEC before the 2019 SEC Meeting, or are determined to be objectionable or prohibited, the SEC has the right to prohibit distribution.
